Create a Clear, Professional Invitation Letter Without Starting From Scratch
Use a professionally structured template to organize the key details of your invitation letter for a Canadian Business Visitor Visa application.
Digital template · Editable document
A complete invitation letter, already laid out.
Each section carries a prompt explaining what belongs there, so the host is never staring at an empty page wondering where to begin.
What the document actually looks like
No surprises after you buy. This is the structure you are getting, section by section.
What a weak invitation letter costs
An invitation letter is often the single document that explains why the trip is happening at all. When the information is vague, the visa officer can assume it’s not complete.
A template cannot change a decision, and nobody should tell you otherwise. What it can do is make sure the document you submit says everything you meant it to say.
For anyone preparing an invitation connected to a legitimate Canadian business visit.
From purchase to finished document.
You provide the facts. The template provides the structure.
Nothing here speaks for you. The template decides the order, the headings and the prompts, which is the part that takes longest and matters least to get personally right. What the letter actually says stays yours, because it has to match your circumstances exactly.

You may use the inviting company’s standard invitation letter. It does not need to follow the exact format of our template.
However, a standard company letter may not include all the information relevant to a Canadian business visitor visa application.
Our Invitation Letter Guide and Template can be used as a reference to help the inviting company review its letter and identify important details that may be missing.
Providing an invitation letter does not guarantee approval. However, an incomplete, unclear or inconsistent letter may make it more difficult for an IRCC officer to understand the purpose of the visit, the activities planned in Canada and the relationship between the parties, and could contribute to a refusal.
The Canadian company inviting you, not you. It is normally issued on the company’s letterhead and signed by someone with the authority to invite you, such as a manager, director or owner.
Including that person’s title and direct contact details makes it easier for an officer to verify the invitation if they choose to.
One download: a .zip file containing an editable Word template and a PDF guide. The guide walks through each section of the invitation letter, what it is for and what to include.
The template opens in Microsoft Word, Google Docs or Pages, so it can be completed on whatever the person writing the letter already uses.
No. Every visa decision is made by Immigration, Refugees and Citizenship Canada (IRCC), and no template, guide or consultant can guarantee an outcome.
What the template does is help you present the relevant information clearly and consistently, so the officer reviewing your application is not left guessing.
